

A packaging design brief is the document that turns an intention into a set of instructions specific enough to be executed. It is not a creative brief, which covers tone and messaging across any touchpoint, and it is not a product brief, which describes the product itself.
What makes packaging briefs distinctive, and what almost no template accounts for, is that the same document goes to two very different readers.
The design agency needs the brand, the audience, the competitive shelf context, the communication hierarchy, and the constraints on how the pack can look.
The manufacturer needs the dimensions and their tolerances, the primary container the carton is sized around, the substrate requirements, the print and finish specification, the filling method, the real quantities per variant, the mandatory copy, and the name of the person who can approve color.
Very little of the second list affects creative direction. All of it affects whether the carton can be produced and filled as designed.
What happens in practice is that a brief is written for the first reader, approved, and then forwarded unchanged to the second. It reads as complete because every section it contains is filled in. The gaps are not in the answers. They are in the questions that were never on the form.
The Packaging Brief Template
1. Project and Product Basics
Product name and description. Number of SKUs and number of variants within each. Required in-market date. Markets and channels it ships to. Whether this is a new launch, a line extension, or a replacement for something already in production.
2. Brand and Positioning
Brand guidelines and where to find them. Tone. The competitive shelf or screen context. What the pack has to communicate in the first second, and what it can communicate on closer inspection.
3. Audience and Where the Pack Is Encountered
Two questions, not one, and most templates collapse them.
Who buys it, and where do they meet it: a lit retail shelf, a search results grid, a parcel opened at home, a gift, a subscription box that arrives every month. Purchase context drives structural priorities as directly as demographics drive graphic ones. A pack encountered in a parcel needs compressive strength and an opening moment. A pack encountered on a shelf needs block presence at distance.
4. Structural and Functional Requirements
Format and style. Dimensions with tolerances. What the pack has to protect and from what. Closure type and the intended opening experience. Whether it ships flat. Stackability and case-pack requirements.
And one field that is easy to leave out and expensive to omit: hand-packed or machine-packed. An automated cartoner is dimensionally unforgiving in a way a person is not, with crease and grain tolerances in the sub-millimeter range. Leave it unstated and the manufacturer has to guess a tolerance band, which produces a carton that samples perfectly and jams on your line at volume.
5. The Primary Packaging It Must Accommodate
The bottle, tube, jar, or sachet the carton is built around, with its final outside dimensions, and a clear statement of whether those dimensions are final or provisional.
This is the most carton-specific field in the template, and generalist templates never include it. The carton is sized around a component another supplier makes. If the brief does not say whether those dimensions are locked, the dieline gets built against a placeholder, and when the container changes the tooling has to be recut and the schedule resets. Structural work can legitimately start once the container’s outside dimensions are settled, well before its own tooling is finished. The brief just has to say which of those two states it is in.
6. Materials and Substrate
What the board has to achieve rather than what the board should be: what it protects, how it ships, required certifications, sustainability commitments, and the tactile impression the pack should give.
Resist specifying caliper in the brief. That number depends on structure, fill weight, finishing, and filling method, none of which are settled at brief stage, and briefs routinely over-specify it. Our guide to paperboard packaging covers how grade and caliper are actually chosen.
7. Print and Finish
Color system: spot colors, process, or extended gamut, and how many. Critical brand colors and any existing standards for them. Finishes and effects, and where they fall on the pack. Any effect that is essential versus any that is aspirational, since that distinction is what gets traded when a budget tightens.
8. Regulatory and Mandatory Copy
Every element the pack is legally required to carry, barcode type and placement, warnings, and whether claims review has been completed or is still in draft. State too whether the brand is supplying production-ready artwork or design files for the manufacturer to prepare, since the most expensive prepress errors happen in the gap where each side assumed the other was checking.
That last clause is small and consequential. Mandatory copy that arrives after artwork is signed is not a text edit, it is a new set of plates.
9. Quantities, Budget, and Timeline
Quantities per SKU and per variant, not as a single total. Budget range if there is one. The real required-in-market date, plus the internal milestone dates behind it.
10. Deliverables and Approvals
What is being delivered, by whom, in what format. Who signs off at each stage, in what order, and critically who holds final color authority.
Name one person for that last one. Too many approvers with no single decision-maker is among the most common causes of packaging delay, and it is the least expensive to fix: color approval is usually the longest stage by elapsed time, and it is rarely the number of proofs that stretches it.
11. Success Criteria
How the finished pack will be judged. Most templates skip this, and it is what turns a brief into something a supplier can be held to rather than a description of a hope.
Where Packaging Projects Lose Time
Five causes account for most packaging project delay, and they are documented together rather than assembled here: an incomplete brief; a design file that is not production-ready; feedback scope expanding between rounds; too many approvers with no decision-maker; and substrate or finish changing mid-project.
Four of the five originate in the brief. The fifth, expanding feedback scope, is largely prevented by one, because scope expands most freely where success criteria were never written down.
The pattern underneath is worth naming. Delays concentrate in planning, sourcing, and approval rather than in manufacturing. The press is rarely the bottleneck. The decisions upstream of it are.
The stakes on mandatory copy in particular are documented. Analysis of the FDA Enforcement Report Database by Loftware, reported in New Food in 2025, found that label errors were the leading cause of US food recalls in 2024, accounting for 45.5% of 422 recall events at an estimated cost of $1.92 billion, with 83.85% of those stemming from undeclared allergens. That is a labeling failure, and labeling content originates in a brief.
There is also evidence that structuring the inputs works. A documented case study published by an artwork-management vendor describes a consumer goods manufacturer cutting its artwork approval cycle from 79 days to 12 and raising its first-time-right rate from 20% to 60% after standardizing brief and artwork inputs. It is a vendor’s account of its own client rather than independent research, and it is worth reading as a direction rather than a benchmark.
A Filled Example
Illustrative only, using a fictional product. This is what the eleven sections look like when they are actually answered.
1. Project and product basics. Nourishing night cream, new launch. 3 SKUs (50ml, 30ml, 15ml travel), 1 variant each. Required in market: 1 March. US retail and DTC.
2. Brand and positioning. Clinical minimalism. Premium but not ornate. Competes in a shelf set dominated by white and pale neutrals; the pack should read as more restrained than its neighbors rather than louder.
3. Audience and where the pack is encountered. Primary buyer 30 to 45, skincare-literate. Encountered first in a search grid, second in a parcel at home, third on a bathroom shelf. Retail shelf is secondary. The unboxing moment matters more than distance legibility.
4. Structural and functional requirements. Straight tuck-end carton, ships flat. Must hold the airless pump upright and prevent rotation in transit. Opening should feel deliberate rather than easy. Case pack of 24.
5. Primary packaging it must accommodate. 100ml airless pump, 38mm diameter x 142mm height, dimensions final and confirmed with the component supplier as of 12 January. Two further SKUs use the same closure at reduced heights.
6. Materials and substrate. SBS. FSC certification required. Must feel substantial in the hand without reading as over-packaged. Manufacturer to specify caliper.
7. Print and finish. Two spot colors plus a matte aqueous coating. Brand black is critical and has an existing standard. Blind emboss on the logo is essential; anything beyond that is aspirational.
8. Regulatory and mandatory copy. Full US cosmetic labeling set. Ingredient declaration final as of 12 January. UPC-A, placement to be confirmed against retailer specification. No SPF claim on any SKU, so no Drug Facts panel required. Claims review complete.
9. Quantities, budget, and timeline. 15,000 units per SKU, 45,000 total, first run. Artwork to manufacturer 15 January. Structural sign-off 29 January. Color approval 12 February.
10. Deliverables and approvals. Structural mock-up, color proof, production. Brand director approves structure. Creative director holds final color authority, single approver.
11. Success criteria. Runs on the co-packer’s existing cartoner without line adjustment. Brand black matches the existing standard across all three SKUs. Arrives undamaged in DTC single-parcel shipping.
Note how much of that is unglamorous, and how little of it a creative team would have supplied unprompted. That is the point.
How Arkay Reads a Brief
With more than 100 years of manufacturing behind it and four generations of family ownership, Arkay’s first job on receiving a brief is usually to find what is missing from it, which is faster and less expensive than discovering it later.
The most useful thing a manufacturer can do at brief stage is make the abstract physical. At the Design Studio in Hauppauge, NY, a brand team can arrive with a brief and leave with a mock-up they can hold, typically within a week and as fast as one day when the timeline demands it. A held carton settles arguments that renderings sustain for weeks, and it exposes brief gaps immediately: the pump does not sit as expected, the opening feels wrong, the mandatory copy does not fit.
The production figures behind a brief’s timeline are published rather than estimated: domestic carton production runs 1 to 4 weeks, a custom carton program 4 to 8 weeks end to end, and tooling adds 1 to 3 weeks where a new die is required. Those are typical ranges rather than guarantees. Printing runs offset on solid bleached sulfate board from 14 to 28pt, with finishing including embossing at ±0.3mm registration tolerance, which is the level of specificity a brief’s finish section eventually resolves into.

What is the difference between a packaging design brief and a creative brief?
A creative brief defines what a brand wants to communicate and how it should feel, and it applies to any touchpoint from a campaign to a website. A packaging design brief inherits all of that and adds the physical constraints: dimensions and tolerances, substrate, closure, what the pack has to protect, how it will be filled, and what it must legally say. The distinction matters because a creative brief can be entirely true and still be unbuildable.
Who should write a packaging design brief?
In practice it takes at least two functions, and briefs that come from only one tend to be strong in half the sections and blank in the other half. Brand or marketing owns positioning, audience, and what the pack has to communicate. Product development or procurement owns dimensions, primary container specifications, quantities, filling line, and approval authority. The best pattern is a single owner who is responsible for the document being complete, collecting from both.
Should quantities be broken down per SKU and variant, or is a total enough?
Break them down. Quantities drive press method, sheet layout, and tooling amortization, and those decisions change with the shape of the run rather than its total. Ten thousand units across one design and ten thousand across five variants are different jobs with different quotes. A brief that gives only a total will get a quote built on an assumption, and the assumption is rarely the one you had in mind.
What happens if the bottle or tube is not finalized when the carton brief is written?
The carton gets engineered against a placeholder, because the dieline has to be built around something. If the container’s dimensions then change, even slightly, the structure usually needs rework and the tooling has to be recut, which resets the schedule. Carton structural work can legitimately begin once the primary container’s outside dimensions are settled, well before that container’s own tooling is finished, so the brief should state whether those dimensions are final or provisional rather than leaving it to be inferred.
Should a brief specify the board grade and caliper, or leave that to the manufacturer?
State the requirements and let the manufacturer specify the board. A brief that names a caliper is answering a question that depends on structure, fill weight, finishing, and filling method, all of which are decided later. What belongs in the brief is what the board has to achieve: what it protects, how it ships, what certifications it needs, and what the pack should feel like in the hand. Over-specifying caliper is common and usually results in a heavier board than the pack needs.
What does print-ready artwork actually mean in a brief?
It means artwork prepared for production rather than for presentation: correct color space, embedded or outlined fonts, images at final size, transparency handled, and everything positioned against the current dieline rather than a previous version. A brief should say plainly whether the brand is supplying files at that standard or supplying design files for the manufacturer to prepare, because the most expensive artwork errors happen in the gap where each side assumed the other was checking.
